The purposeXchange terms of service sets out the ethical standards and behavioural expectations for everyone involved with the organisation. It exists to protect beneficiaries, volunteers, partners, and the organisation itself, and to ensure that all actions reflect our values, mission, and commitment to social good.

Who This Applies To

This code applies to all individuals representing purposeXchange, including but not limited to: Volunteers, Staff, partners, and collaborators. It applies to all activities conducted on behalf of purposeXchange, whether in person, through social media or when conducting business.

All representatives of purposeXchange are expected to uphold the following values:

Professional Conduct

All individuals must always act professionally, respectfully, and ethically; communicate honestly and responsibly; treat all individuals fairly and without prejudice; and conduct themselves in a way that upholds the reputation and values of purposeXchange.

Protection of Vulnerable Individuals

Here at purposeXchange, we are committed to protecting vulnerable individuals and communities. There is zero tolerance for:

  • Abuse, harassment, exploitation, or gender-based violence
  • Inappropriate relationships or boundary violations
  • Any behaviour that causes harm or distress

All representatives are responsible for always maintaining appropriate boundaries and prioritizing safety. Any engagement in the above shall be reported to the appropriate authorities.

Non-Discrimination and Inclusion

purposeXchange does not tolerate discrimination of any kind, including based on race, gender, age, religion, disability, sexual orientation, or socio-economic background. We are committed to creating safe, inclusive, and respectful spaces for everyone.

Confidentiality

All personal information relating to beneficiaries, volunteers, donors, and partners must be treated with confidentiality. No personal data, stories, photographs, or records may be shared without proper consent and authorisation.

Financial Responsibility and Resource Management

All donations, funds, and resources must be used ethically and responsibly, applied only for their intended purposes, and managed with transparency and accountability. Personal use or misuse of organisational resources is prohibited.

Conflict of Interest

Any actual or potential conflicts of interest must be disclosed promptly. Individuals may not use their role within purposeXchange for personal, financial, or relational gain.

Communication and Media

All public communication must reflect the values of purposeXchange. Consent must be obtained before sharing images, videos, or stories. Social media conduct must be respectful and responsible. The organisation's name and branding may not be used without prior authorisation.

Reporting and Accountability

All concerns, complaints, or suspected breaches of this Code should be reported promptly through the appropriate channels. purposeXchange is committed to confidentiality and the protection of whistleblowers. Retaliation against individuals who report concerns in good faith will not be tolerated.

Consequences of Breaches

Breaches of this Code may result in disciplinary action, including:

  • Verbal or written warnings
  • Suspension or removal from duties
  • Termination of association
  • Referral to relevant authorities where necessary

The above processes shall be handled with fairness and in accordance with the Labour Relations Act (LRA).
